SWITCHING MADE SIMPLE: A STEP-BY-STEP GUIDE TO SWITCHING CLEARING HOUSES
There are so many clearing houses out there, which do you choose?
Bushido Billing, in partnership with The JaneApp EHR Software, has developed a checklist and short video on how to make this transition as smooth as possible! Follow the steps and tips below to ensure a successful and smooth transition:
Step 1:Â Choose a clearing house and which plan works best for your budget. There are so many out there including: Trizetto, Office Ally, ClaimMD, Infinedi, APEX, Availity, and many more.
- Â A few things to consider when choosing would be: does it integrate with your software? Does it offer add on services you want/need such as verifications or claim corrections? Is it user friendly for your billing specialist?
Step 2:Â Check that all of your business information is up-to-date between your software and insurance contracts. If your address has changed and is not updated with the insurance, you will want to make sure that the claims going out of your software, to your clearing house, matches what you are enrolled with.
Step 3: Start your ERA and EDI enrollments! Complete all the enrollment forms for each payer you would like ERA (electronic EOB’s). Your EDI Enrollments will vary but are typically for Medicare and Medicaid and allow you to send claims to those payers. It’s important to note that you must have EDI enrollments approved and notified to your clearing house before you can submit any of these claims.

Step 4:Â Start submitting claims!
Other Tips when transitions clearing houses:
- You will want to keep your old clearing house until all your ERA enrollments are approved to your new clearing house
- You CAN submit claims (Special EDI enrollments aside) as soon as you have your clearing house. Your EOB’s will just come on paper, portals or you old clearing house until those are approved.
- Send just a few claims through on your first batch. Include a couple patients and a couple insurances and wait to see if you get rejections in the clearing house before submitting all your claims.
